Arrival of a Chapter Development Consultant

The CDC will notify you via email as soon as the schedule is released. (Note: Visits for August through October are announced at the end of July. Visits for October through December will be announced in late September. Visits for January through March will be announced in early December.) You will receive a letter and a brochure from the CDC approximately three weeks prior to your visit. This letter will help you to better prepare for her arrival. The CDC will call or email you with the details of her arrival one week before her visit.

If the CDC is arriving by plane, a designated member should meet her at baggage claim at the airport. Please make sure you bring a vehicle with a large trunk. CDCs travel with several large pieces of luggage. Please also identify yourselves as Kappa Deltas (i.e. wear letters, pin attire, or bring a small sign).

If she is arriving by car from another chapter, please correspond with the other chapter president to arrange transportation and an arrival time suitable for both chapters.

Housing Arrangements

The chapter is responsible for ensuring that your CDC has a comfortable room. If your chapter has an available room in the chapter house, your Gracious Living chair should make her room attractive and comfortable. (Please note list below). Upon her arrival, provide her with a tour of the chapter house. If you do not have a chapter house, or an available room in the chapter house, please arrange for the CDC to stay in a residence hall/guest room, campus apartment, hotel room or a convenient home of a local alumna. Your chapter will pay for her lodging during her stay.

The following items must be made available for the CDC prior to her arrival:
Private room (if available)
Clean sheets, blankets, washcloths and towels
Pillow(s)
Clothing hangers
Iron and ironing board
Mail that has arrived from HQ; please do not open
Access to laundry facilities and supplies
Alarm clock
Internet and printer access
Gym passes (if available)
Any other items requested by your CDC in her brochure

Place the following in a folder in the CDC's room prior to her arrival: chapter calendar, composite, contact list (phone chain), meeting schedule, chapter bylaws, recruitment rules (for RA visits), Who We Are Chapter Excellence report, copy of your most recent bi-monthly report and any mail that has arrived that was addressed to your CDC.

Meals

The chapter is responsible for providing all meals during the CDC's stay. Meal times should be listed in her schedule along with the name and a phone number of the sister(s) escorting her to the meal. The chapter is responsible for paying for the CDC's meal (money should be budgeted in your chapter account). Please try not to schedule meetings during meals. Your CDC will also provide you with a snack "wish list" in her brochure. Have your Gracious Living chair place these items in her room prior to her arrival.

Meetings

Schedule one hour meetings with CAB and council officers and a half-hour with appointed officers. No meetings should occur during meals. Please try to schedule meetings during the times listed on the CDC's brochure. Try to block schedule as many meetings together as possible. Remember you do not have to pack a meeting or event into every minute of the CDC's schedule. It is ok to schedule free time and fun time. Consider taking your CDC on a campus tour, to major campus events, to the movies, to campus or local sporting events, sight seeing, to a sister's house to watch tv, shopping, to the salon, or to any other creative and fun idea you would like for her to enjoy while she is at your chapter!

Hosting a CDC like a KD Lady

When a national leadership team member visits your chapter, she comes with great interest in, and a real concern for, your group. She wants to be as helpful as she possibly can in the short time she has with you. Your complete cooperation with her in the organization and details for her visit, and the courtesies which you show her, will make for a pleasant relationship and a valuable experience for your chapter. Always remember, a Chapter Development Consultant is a national leadership team member.

Recognize that you have received information regarding her visit as soon as it is made available. Your chapter information sheet is due to your CDC via e-mail within one week of receiving notice of her visit. Please e-mail the CDC her meeting schedule one week prior to her visit.

Remember all CDCs visit chapters to provide assistance and offer advice on how to improve overall chapter operations.
Please be respectful of all CDCs who visit your chapter.
Inform the CDC of your plans for meeting her at the airport.
Chapter members should arrive to meals and meetings on time. Please call the CDC visiting if you are running late. There should be no absences except in the case of an absolute emergency.
Chapter members are expected to dress in pin attire for all meetings.
Escort her to all campus appointments (ex: Greek Advisor)
Please make her feel at home! It is ok to have free time in her schedule. CDC's love to sight-see and spend time getting to know your campus and community.
Give the national leadership team member a real opportunity to help you by confiding in her and telling her of your problems and areas of greatest weakness-she is there to help you.
Read her introductory letter to the chapter prior to her arrival! You will want to review the COHB concerning CDC visits with the entire chapter. Make sure chapter members know the reason for her visit.
Remind chapter members to introduce themselves to the CDC! She would love to meet as many members as possible.

In entertaining a CDC, as in every other phase of the chapter's social life, rule number one is that it is the duty of every new member and member to meet her responsibility as an individual hostess. When the members in a chapter accept this responsibility and cooperate, it is a most satisfactory relationship for any CDC.

Remember, CDC's travel for an extended period of time before returning home. Your home is essentially their home too! Please treat your CDC with kindness. After all, with Kappa Delta, KinDness is a way of life!
